Frequently Asked Questions

What areas do you serve?

Integritybooks is based in Grimsby, Ontario, and proudly serves businesses throughout the Greater Toronto Area (GTA), Hamilton, Burlington, St. Catharines, Niagara Region, and Niagara Falls. Depending on your needs, services can be provided on-site or remotely.

What is the difference between a bookkeeper and an accountant?

Bookkeepers and accountants play different but complementary roles in managing your business finances.

Accountants (CPA)

Chartered Professional Accountants (CPAs) are typically involved in year-end financial activities, including:

  • Reviewing and adjusting financial records
  • Preparing financial statements
  • Providing tax planning and compliance services
  • Filing corporate and personal tax returns
  • Offering strategic financial advice

Professional Bookkeepers

Bookkeepers manage the day-to-day financial operations of a business, including:

  • Customer invoicing and accounts receivable
  • Vendor payments and accounts payable
  • Bank and credit card reconciliations
  • HST/GST filings
  • Payroll processing and remittances
  • WSIB reporting and remittances
  • Maintaining accurate and up-to-date financial records

By keeping your books organized throughout the year, a bookkeeper helps ensure a smoother and more cost-effective year-end process for your accountant.

Why hire a freelance bookkeeper?

Every business needs accurate financial records, but bookkeeping responsibilities often fall to owners or administrative staff whose expertise lies elsewhere. Outsourcing your bookkeeping can provide significant benefits.

1. Improved Accuracy

Professional bookkeeping helps ensure transactions are recorded correctly from the start, reducing errors and minimizing costly corrections later.

2. Lower Accounting Costs

Well-maintained books save your accountant valuable time during year-end reporting and tax preparation, which can reduce professional fees.

3. Cost-Effective Support

Rather than paying for a full-time employee, you receive bookkeeping services only when needed—whether that's a few hours each week or a few hours each month.

4. Better Cash Flow

Timely invoicing and consistent follow-up on receivables help improve cash flow and ensure money comes into the business when expected.

5. Stronger Vendor Relationships

Paying suppliers on time helps maintain positive business relationships and protects your company's reputation.

6. Reduced Interest Costs

Improved cash management can reduce reliance on loans and credit facilities, helping lower interest expenses.

7. Reliable Financial Reporting

Accurate, up-to-date financial reports provide valuable insight into your company's performance and support better business decisions.

8. No Employee-Related Costs

As an independent service provider, Integritybooks invoices only for services rendered. There are no employer contributions, benefits, vacation pay, or payroll-related expenses. Bookkeeping fees are generally deductible business expenses; consult your tax professional for advice specific to your situation.

9. Will you come to my business, or do I come to you?

Following the initial meeting and an understanding of your business needs, services are primarily provided remotely from our office in Grimsby, depending on your preferences and operational requirements.

When work is completed off-site, documents can be securely exchanged electronically whenever possible. If physical records are required, pickup and delivery can be arranged at no additional charge.

10.How much should I budget for bookkeeping services?

The cost of bookkeeping services depends on the size, complexity, and current condition of your financial records.

New Businesses

For startups, the initial phase typically involves:

  • Setting up accounting systems
  • Establishing bookkeeping procedures
  • Creating workflows and internal processes
  • Training staff where necessary

As a result, the first few months generally require a greater investment.

Existing Businesses

Established businesses may require:

  • Catch-up bookkeeping
  • Record cleanup and corrections
  • Process improvements
  • System optimization

Once your books are current and procedures are streamlined, ongoing bookkeeping becomes more efficient and cost-effective.

If you currently process payroll in-house, ask about payroll service options that may save time and reduce administrative costs.
